Scandagra Eesti AS is part of Scandagra Group, an agricultural company operating across Scandinavia and the Baltics. The company started operations in Estonia in 1993 and has operated under the Scandagra name since 2013. In 2024, Scandagra Eesti reached a turnover of €177 million.

Scandagra is Estonia’s largest animal feed producer and one of the leading suppliers of agricultural inputs and services. The company produces and sells animal feed, fertilizers, crop protection products, seeds, and silage additives, and purchases and trades grain, rapeseed, and other crops. In addition, Scandagra operates eight retail stores for hobby farmers and gardeners.

Scandagra operates grain elevators in Viljandi, Elva, Keila, and Näpi and exports grain via the ports of Muuga and Kunda. This results in high logistics volumes and a strong need for accurate and reliable transport documentation.

The Challenge: Paper and Limited Visibility

Before implementing Waybiller, Scandagra’s grain transport logistics relied largely on paper waybills and phone communication. Waybills were filled in manually, transferred on paper, and later re-entered into separate systems.

This resulted in:

  • Time-consuming double work
  • Increased risk of errors in weight and shipment data entry
  • Limited real-time visibility over transports

According to Roman Kondraškin, Head of Supply Chain at Scandagra, manual data handling was the biggest pain point: “Every incorrect entry could mean that calculations didn’t match. The Excel workload was high, and information didn’t move in real time.”

The Solution: Waybiller e-Waybills and Automated Data Exchange

Scandagra implemented Waybiller’s e-waybill platform and encouraged its partners, grain producers, carriers, and terminals to adopt the same solution.

Waybiller enabled:

  • Digital e-waybills across the entire supply chain
  • Real-time visibility for all stakeholders
  • Automated weighing through integrated weighbridges

In the second half of 2025 (July–December) alone, nearly 15,000 e-waybills were processed through Scandagra, clearly demonstrating large-scale adoption in daily operations. The digital workflow has become a natural part of Scandagra’s grain logistics, connecting all parties within one unified system.

Impact on Daily Operations

The implementation of Waybiller significantly changed the nature of seasonal work. Manual input errors were reduced and replaced with more strategic, value-adding tasks.

According to Scandagra:

  • 10–15 seconds are saved per incoming load
  • With further development and automation, up to 0.5–1 minute can be saved per load
  • During peak season, this enables significantly more efficient and smoother operations

During high season, Scandagra processes approximately 2,000–2,500 waybills per week. Even a 10–15 second saving per load results in approximately 5.5–10.5 working hours saved per week. With additional automation fully implemented, the time savings could grow to 17–42 working hours per week, a substantial operational gain. These saved hours are redirected to more impactful and strategic tasks. At the same time, errors caused by manual data entry previously affecting accounting accuracy and partner collaboration have significantly decreased.

Implementation and Collaboration

The implementation process was relatively smooth, with the timeline mainly influenced by Scandagra’s parallel internal IT projects. The logistics solution was introduced step by step, with grain transport via e-Waybills as the first phase.

Scandagra values Waybiller’s flexibility and customer support: “Once the solution was up and running, support was always available. Developments were implemented quickly and according to our actual needs,” commented Roman Kondraškin, Head of Supply Chain at Scandagra.

Although service terminals and smaller partners were initially cautious, the system was gradually adopted, and today the benefits of the digital workflow are clearly recognized.

Before and After Waybiller

ActivityBefore (paper-based or non-system solution)After (Waybiller e-waybills)
Waybills and document managementWaybills were filled in manually and transferred to paper. Data had to be entered separately into ERP systems, which was time-consuming and error-prone.Waybiller e-waybills allow users to create, confirm, and share transport documents digitally. All stakeholders have real-time access, eliminating paperwork.
Weighing ProcessVehicle weighing and related data entry were handled manually.Waybiller integrates with loader scales and truck weighbridges. License plate recognition or QR codes trigger the weighing process, and the recorded weight is automatically added to the e-Waybill.
Real-time visibilityTransport tracking relied on phone calls and emails. Planning was time-consuming, and there was no shared overview.e-Waybills provide real-time visibility of weights, quality data, and goods movement for all stakeholders (farmers, laboratories, grain buyers).
Data accuracy Manual data entry led to errors in weighing, quality data recording, and order management.Automated weighing, integrations, and digital e-Waybills significantly reduce manual input and improve data accuracy.
Environmental impactPaper waybills resulted in high paper consumption and archiving needs.A fully paperless workflow supports sustainability goals. Transitioning to e-Waybills across the EU could save millions of sheets of paper and reduce CO₂ emissions.

Summary and Next Steps

The implementation of Waybiller has made Scandagra’s daily logistics processes clearer, faster, and more manageable. The digital workflow supports both operational efficiency and data-driven decision-making across the entire supply chain.

Scandagra sees Waybiller as a long-term digital partner and plans to expand the solution in the upcoming seasons further. The focus is on automation, improved data exchange, and broader system adoption throughout the supply chain.

Next steps include:

  • Expanding Waybiller usage to other Baltic countries
  • Automating laboratory data exchange
  • Integrating additional weighbridge systems at terminals
  • Using Waybiller not only for grain but also for fertilizers, seeds, and animal feed transport

For Scandagra, Waybiller is an important part of a broader digital transformation journey that supports company growth, better planning, and more efficient collaboration with partners.
